Job Responsibilities

Specific Responsibilities

Ensuring Success of Project Management Team

  • Assist Project Management Directors to maintain lean processes for managing submittals, close out documents, RFIs, time and material tickets, subcontractor procurement and material procurement.
  • Assist in training Project Managers and Assistant Project Managers in processes for budgets, change orders, submittals, purchase orders, subcontracts, PlanGrid, material logs and cost to complete reports.
  • Perform a monthly audit of Plangrid, O;Drive, and any other agreed upon procedures to verify if all staff are following procedures. Create report to identify deficiencies and pass onto Directors for action with PM teams
  • Perform, or coordinate with PM staff, refresher training lunch and learns for operations team topics.
  • Assist in the setting up of budgets in CE. Work with project team to make sure cost codes are accurately setup based on how the field will record time and units.
  • Create timesheets for all projects.
  • Manage wage rates for all projects. Update new rates as new union agreements are completed. Modify rates as needed on a job specific basis as required with VP/Director approval.
  • Maintain an Operations Procedures Manual that can be used for training or general reference.
  • Help gather and organize the learnings from each post-completion project review session. Work with Operational Excellence Department to create and maintain database of information that is sharable among all departments for future use.

Support Senior Leader & Team Administrative Activities

  • Leverage technology to improve communication within the operations teams.
  • Prepare operations reports requested by the VP of Operations and coordination with Directors.
  • Assist the VP, Director, and General Superintendent, in preparation of presentations and reports for the department
  • Potentially manage calendar for VP of Operations
  • Actively monitor and manage VP’s, and Director’s planned customer interactions and track accountability
  • Schedule all Operations Department meetings and trainings throughout the year
  • Plan and set up all department meetings, lunch and learns, team building sessions
  • Manage Plangird accounts and licenses for all users.
  • Archive old projects as soon as paid in full. Clean up current list of projects
  • Assist in coordinating monthly forecast report for department

Knowledge, Skills, and Abilities

  • High School Diploma/GED or equivalent; Bachelor’s Degree in Business Administration, preferred
  • 6+ years of experience as an administrative assistant
  • Positive and resourceful professional attitude
  • Comfortable interacting with high-level executives, exhibiting sounds judgement, proactiveness and detail-orientation, willingness to adapt and multi-task in a fast-paced environment, ability to understand and follow written and oral instructions
  • Excellent written and verbal communication skills. Superior interpersonal skills, including the ability to interact with all levels of the organization and adapt communication style accordingly.
  • Strong sense of integrity and ethics.
  • Proficiency with Microsoft Office software (primarily Outlook, Excel, Word and Power Point).
